Standards of Conduct and Operations

Conduct

It is each and every member’s responsibility to help maintain a healthy, respectful and supportive atmosphere. All Members will conduct themselves as respectful professionals to both guests and fellow members.

If a Member is a disruption to classes, intimidating or degrading to guests or members, and/or refuses to comply with guidelines, he/she will be asked to forfeit their membership.

Abuse or ill-temper towards another member will not be tolerated.

All members must be respectful towards our invited guests. If there is any issue, it must be brought to the attention of the Monitor, who will then address it through the proper leadership channels.

Our invited Guests must be respectful towards the members. Any unwarranted bad behavior towards membership will not be tolerated. The Monitor has a responsibility to report any unfortunate incident to the Board, who will then decide the appropriate action.

All Members will treat the Monitors with respect and be supportive. They are doing a service and should be treated with appreciation.

The Monitors will behave with respect and be in excellence with the monitor duties and guidelines, as they are the first “face” of The Collaborative to the guest and the membership for that particular class.

The space must be treated with care and respect. All Members should always pick up after themselves and be mindful with food and drinks. It is the member’s responsibility to help preserve the space.

A commitment to a class must be taken seriously. If there is a need to cancel, the member must do so with notification per the cancellation policy and make an effort to bring this awareness to the membership body by posting it on Facebook.

Any complaints about conduct must come to the attention of the President and the Board. The Board will ultimately decide what action must be taken.

Discrimination And Harassment

The diversity of the membership is a tremendous asset. The Collaborative is committed to creating an environment of respect and integrity because it brings out the full potential in each person, which, in turn, contributes directly to artistic and business success. The Collaborative is committed to providing an environment that is free of discrimination of all types and from abusive, offensive or harassing behavior (including, but not limited to harassment based on race, color, religion, people are who are disabled pursuant to the Americans Disability Act, sex, national origin or any other protected class). Any member who feels harassed, sexually harassed or discriminated against is encouraged to report the incident in writing to the Executive Manager.  This will be considered a Code of Conduct violation.

After the complaint is submitted, the Executive Manager will report to the Board of Directors in a reasonable and timely manner, and the board will investigate promptly and thoroughly. Two appointed board members with an appointed administrative officer will investigate the situation and report to the whole board. All board members and the administrative officer will be required to sign a standing NDA regarding anything said that is considered to be “confidential.”

The following are basic steps for completing an appropriate investigation of alleged discrimination, harassment or sexual harassment:

  • Interview the complainant.
  • Interview the accused individual.
  • Interview all witnesses.
  • Weigh all the evidence.
  • Make a record of the investigation.
  • Take action.

Resolution could be as simple as an apology from the accused individual to the complaining individual or as severe as suspension of member privileges or dismissal.

Operations

Class Structure/Options:

The guests have the option to request prepared scenes or to provide scenes for cold read as well as a wide range of other formats depending on the nature of their class and their specific curriculum, including but not limited to improv training, moderated Q&A, on camera work, etc.

All information on class structure will be presented to members on the calendar, and members are expected to abide by the class specifications.

Sign Ups:

The calendar will be released on the 23rd of each month. At 9am, members may sign up for no more than three classes via the online calendar. On the 26th of each month, members may sign up for as many classes as they are interested in participating in pending availability.

Cancellations:

The Collaborative has a 24-hour cancellation policy. Members may cancel any enrolled class up to 24 hours in advance. To cancel a class, log-in to your account and click “Cancel.”

Late Cancellation:

A cancellation within 24 hours prior to the beginning of the said class will result in a $25.00 Late Cancellation fee. However, each member may cancel once each month within this 24 hour period without penalty. After one late cancellation within the calendar month, each subsequent late cancellation in a single month will result in the aforementioned fee.

All late charges may be contested and appealed. To appeal a late charge, send an e-mail to the President with the subject line: “Late charge appeal” and the date of the contested charge. For example: “Late charge appeal, July 18 2016.” Please explain the reason for the appeal in detail. All contestations are subject to approval by the President.

If a member must cancel, he/she is encouraged to post in the Facebook Group that his/her seat is available.

Late Policy:

Late is one minute or more after the actor’s call time. If you are running late for a class, you must call or text the hotline and let us know. The Collaborative Hotline Number: Text or Call 818.850.3120

If you called/texted the hotline, your seat is held until the end of the Q&A. If you arrive past then, you cannot participate in the class. If you do not call the hotline and you arrive after the actor call time, your seat will be given away to any actor on standby. If you do not call the hotline and you arrive after the start of class, you will not be permitted to enter the class.

No Call/No Show:

If anyone does not show up to a class that they are signed up for and fails to call/text via the Hotline, a $40.00 charge will be applied.

Quality Control:

The Collaborative values itself on its high level of talent. It is everyone’s responsibility to maintain the quality of the class experience.

We are here because of the quality, artistry and professionalism we exhibit in our work and behavior and so we must exhibit that within ourselves and inspire that in others. If there is a situation where a member is consistently not meeting that level of expectation, there is a procedure called the flag system. The flag system is there to be an ANONYMOUS, PRIVATE way for members to help keep each other in check.

What Are Flags?

Flags are emails sent to reelprosflags@gmail.com. They will always be private and anonymous, and the only people whose eyes are on it are the Community Relations committee head and the President, and Flags are always handled at the discretion of those two positions. You will never be named publicly as someone who has flagged or has been flagged.

Flags can include, but are not limited to:

  • Lack of clear intention/objective
  • Unclear Relationships
  • Lack of variety of choices/tactics/actions
  • Sub-Par cold reading skills (i.e. head always in the page)
  • Poor self-direction, no arc in the scene
  • Not listening or collaborating with your partner
  • Difficult to work with
  • Being worried to be paired with this actor

It’s up to your discretion if you think something is flag-worthy. But do be aware that this is an official means of adjudicating the community, and, as such, all Flags will be taken very seriously.

How Do I flag?

Flags must be officially submitted in the following format:

Name of actor you’re flagging:
Class Guest and Date:
Class Format (Cold, Prepared, 1-on-1, etc.):
Specific Reasons for Flagging: (Please be as specific as possible when flagging. It helps us to have as much information as we can.)

Flags are to be emailed to reelprosflags@gmail.com, or, if you prefer, hand-delivered in a sealed envelope to the President or Community Relations Committee Head. All submissions will be 100% confidential.

How Does the Flagging System Work?

If an actor receives 3 flags (From 3 different individuals, in 3 different classes), that actor will receive notification of this, as well as the reasons why they were flagged, in hopes that this can be corrected.

If an actor goes on to receive a 4th flag, they will receive official notification that they have been placed into a Probationary Period.

In this Probationary Period, if they receive one more flag, totaling 5 flags, that individual will be required to re-audition for membership in The Collaborative and may not participate unless re-entry is granted by the Audition Committee.

However, if after one (1) year from the first flag issued, the actor has NOT received 5 flags, all flags will be erased from the individual and the probationary period will be over.

All flag submissions will be vetted, verified, and acted upon at the discretion of the CEO and the Community Relations Committee Head.

All discussions with members on quality must come from a place of help, community and betterment as artists.

Classes

Per Labor Board Guidelines:

The Collaborative is fully bonded, labor board & CSA Compliant. The Collaborative is an actor-run 501(c)(3) where members pay monthly membership dues for a wide range of benefits.  Our classes are not job interviews or auditions, and the presence of an industry professional (including but not limited to: a producer, a director, or a casting director, an associate, or representative) is neither a promise or guarantee of employment or an audition. Contact with an industry professional solely through a class in and of itself does not result in a contract with the guest or the production company they represent. Classes and Showcases are not auditions for employment or for obtaining a talent agent or talent manager. Labor code: 1703.1(b)

Studio Space

  1. Space availability and scheduling will be made accessible to members through the TEAMUP app. The Lock Box is in place on the Studio Door. Do not share the code with anyone who is not a member, and be mindful to not leave the combo on the lock box when you leave to maintain security. Be respectful of the space and clean up after yourself. Sharing the code, leaving the space dirty or damaged in any way, will be in violation of these Standards of Conduct and subject to ramifications.
  2. The space is available weekdays and non-scheduled class evenings. The space is also available on weekend days when not in conflict with scheduled classes.
  3. Member’s request for use of space for projects that are meant for profit need to conform to guidelines and be submitted to the Executive Manager for Board approval.

Paid Positions

In order to facilitate the day-to-day operations of The Collaborative, the Board may employ paid personnel whose responsibilities are as follows:

  1. Managing elections, both for the Board and any special elections.
  2. Managing and organizing Board meetings, including creating the agenda with the President, taking and publicizing the minutes.
  3. Training, assigning and overseeing the monitors.
  4. Tracking and supplying office and studio needs.
  5. In conjunction with the President, managing both accounts payable and receivable.
  6. Balancing the number of guests to schedule in accordance with the number of members, keeping the honorarium totals within the budget constraints.
  7. Managing the studio reservations.
  8. Publishing the monthly calendar on Gmail, the Website and any other form of communication that becomes useful and customary.
  9. Handling all payment issues for monthly dues and class fees. Processing all payments.
  10. Sending out weekly communication advertising open seats in classes.
  11. Processing new members; sending a welcome email, updating their account, and adding them to the contact list, Facebook page, website group, Gmail account or any other group that becomes usual and customary.
  12. Tracking the beginning and end dates of all contracts, ensuring that members at all times have current contracts.
  13. Booking industry guests each month to teach classes.
  14. Maintaining a spreadsheet of guests, noting when they were last contacted and booked.
  15. Maintaining the Guest Database, with the guest’s current title, email address, phone numbers, office, office address, guest honorarium, preferred class format and class size limit.
  16. Inviting desired guests.
  17. Scheduling guests, including confirming all class preferences and follow-up details.
  18. May send sides to actors in advance for the guest if requested.
  19. Rescheduling class if necessary and being a point of contact for guests.
